
The Platform Adoption Checklist: 12 Questions Before You Put Customer Operations on an Enterprise AI Platform

A — Integration effort
- 1. Do we have documented APIs for every core system this platform must touch (CRM, ERP, ticketing, billing)?
- 2. Have we listed the workflows that cross channels today (e.g. WhatsApp → phone → CRM) — and confirmed the platform carries context across all of them, not just within its own channels?
- 3. Has someone with build access — not sales — shown us our own use case running end to end, with our test data?
- 4. Do we know which of our systems will need middleware or custom connectors, and is that effort in the business case?
B — Vendor dependency
- 5. If the platform changes pricing, terms or features on 30 days' notice, do we have a contractual or technical answer?
- 6. Do we keep ownership and control of our digital assets on the platform — identities, handles, phone numbers, templates?
- 7. Can we run the same workflows with a second provider or in-house if we have to — and have we actually estimated the switching cost?
C — Auditability and compliance
- 8. Can we produce a complete, timestamped record of what the AI did in each case — enough to satisfy our auditors and regulators?
- 9. Do we know where conversation data and customer records are stored and processed, and does that match our data-residency obligations?
- 10. Can we intervene in real time — see live activity, take over a conversation, stop an automation — rather than reading about it in tomorrow's log?
D — Exit and control
- 11. Can we export our workflows, prompts, transcripts and records in a usable format at any time?
- 12. Is there a named owner on our side for this platform relationship — someone who reviews usage, cost and incidents monthly?
How to use it
Score it honestly in one meeting: operations, IT and compliance in the same room, one hour. Ten or more yes answers: proceed, and fix the gaps in the contract. Seven to nine: pilot with an exit plan. Six or fewer: the platform is not the problem — your readiness is, and that is cheaper to fix before you sign.
